Planning for Audio-Visual Equipment, Lighting, and Staging of Your Corporate Event

To use exciting new technologies like interactive computer, live video enhancement of the speakers and teleconferencing can be used, but the associated costs for these new technologies can be steep. The type of AV support, you will need for your meeting or event can be simple or complicated. Make sure all options and planning security review:

• Get a list of the needs of all the speakers, before the meeting date and schedule a test.

• Let the sample and set-up timein your meeting rooms.

• Key speakers the possibility of using the equipment, they rehearse be using.

Test equipment immediately prior to the start of the event. Check Acoustics

Clap your hands sharply … speak loudly … listen attentively

Check to see if there are any echo or blind spots.

Thu drapes or acoustic panels need to add.

Plug-in and test the audio.

Is the public address system working?

Is there a feedbackWorking level?

Are the speakers properly placed?

Are there enough microphones, cables, stands?

Do you have spare bulk materials and extension cords on hand.

If you are taping, is the tape recorder microphone working? Make sure you have an upright standing or moving a table

If the audio-visual at the correct distance from the screen, rigid and level?

Do you know the location of circuit breakers and fuses

Have spare fuses and standby circuits ready

Test the intercomsystem.

Is the emergency work light ready?

• Having a technician available to attend to your needs throughout the meeting may be your best insurance policy.

• If the facility where you are holding your meeting has AV equipment available check to make sure it is in good working order.

• Remember that poor-quality AV equipment can ruin a meeting.

To maximize your audio visual budget, try the following:

• If using an outside vendor, Choose to retain a reputable company and equipment early. If you have never worked with the vendor, ask for references and check them.

• Negotiate all costs. Package deals are good for you and the landlords. If they know your needs and your time constraints will make it more affordable.

• Make sure that all agreements are in writing. If a company is unable to meet your needs, look at other companies, to meet your needs.

• Clearly indicatewritten instructions. Add the agendas and room layouts so your vendors know exactly what you expect.

• If you need help in finding experienced production managers and technicians monitoring the AV part of your event. Imagine if the engineers, the duties of your event, and find out how to make contact with them the need arise.

• Barter goods and services with their landlords. You may like to advertise in their publications, point to your trade show, oracquire leads from your visitors.

• Guaranteed performance is often a policy of the AV companies. They will compensate customers for rental costs in the event of malfunctions. Better yet, many will offer on-site back-up.

Check the audio-visual equipment, which is on the conference device that you use available. Many institutions have their own in-house audio department. Ask if any audio-visual equipment is in the room rate? Be sure to check outthe quality and age of the equipment provided.

Most facilities only a podium and microphone, so you need additional equipment from a qualified local rent audio-visual rental company. The facility, where you have your meeting or the local convention and visitors bureau operation, can make recommendations.
